A quote leaves the sales team's inbox, but nobody records the next step. A week later, three people chase the same customer. Another prospect asked to reconnect next month and receives a “ready to proceed?” message the following morning.

Useful follow-up starts with the customer's request, the quote's current status and a reason to make contact. A trained VA can keep that work moving while AI assists with wording. Neither more messages nor a faster drafting tool fixes an unclear contact policy.

This is a proposed operating workflow, with Australian regulatory guidance checked on 26 September 2026.

Separate the requested quote from later marketing

Record what the person asked for, when, through which channel and any agreed follow-up. Responding to that request is different from enrolling the person in an ongoing promotional sequence. A requested quote can still be a commercial electronic message; being requested does not automatically exempt it from the spam rules.

The Spam Act considers a message's content, presentation and linked material when determining its commercial purpose. Its consent provisions cover express consent and consent reasonably inferred from conduct and relationships. Apply that assessment to the proposed message, rather than treating a CRM label as permission. Read the Spam Act.

ACMA warns that automatically adding someone to marketing after an email enquiry may breach consent requirements. It also warns that promotional content can make a largely factual service message commercial. ACMA: common e-marketing mistakes.

Have the responsible business owner settle uncertain cases before a sequence starts. Do not ask the VA or the AI to invent a consent basis.

Give the VA a status and permission register

Keep one record for each quote opportunity, with its current version, owner, last meaningful contact, next permitted action and any unresolved question. Record the consent basis and supporting evidence separately from sales status, including channel, scope and any withdrawal.

Use a small set of statuses with specific consequences:

Quote positionVA's next actionWhat stops the chase
Information needed to prepare the quoteRequest the specified missing information within the authorised scopeCustomer withdraws or the request becomes inappropriate
Quote sent, follow-up agreedContact on the recorded date with a useful questionReply, revised instruction, acceptance or withdrawal
Customer asks to waitRecord the requested timing and pause the sequenceNo further sales reminder before the agreed review
Scope or price under reviewRoute the decision to its ownerDo not chase acceptance of a superseded quote
Accepted, declined or closedUpdate the outcome and remove active sales remindersNo automatic transfer into another marketing list

These are proposed internal states, not legal categories. A valid sales status does not override a suppression flag. For managing replies and handovers, use our shared inbox playbook.

Make each follow-up useful and truthful

Agree a limited contact plan suited to the request and customer preference. An example might allow one agreed follow-up and a review if unanswered. That is an operational choice, not a legally guaranteed number of permitted messages. Silence does not create fresh consent.

Use templates only where the contact is permitted. Replace placeholders and verify every statement:

Agreed follow-up: “You asked me to check in today about quote [reference]. Is there a question about the proposed scope that you would like our team to clarify?”

Answering an open question: “You asked whether [item] was included. The approved quote [version] states [verified answer]. If you need a different scope, I can refer that request to [responsible person].”

Genuine validity date: “Quote [reference] is valid until [date stated in the quote]. After that date, please ask us to confirm the current price and availability before proceeding.”

Do not add an invented deadline, unsupported saving or “last available slot”. The ACCC explains that business claims must be accurate and supported, including information about prices and delivery times. See ACCC guidance on misleading claims.

For commercial messages, the full message also needs the applicable sender details and unsubscribe facility; the sample body text is not a complete compliance template.

Let AI improve wording without changing the offer

Give an approved tool the permitted facts and template, then ask it to shorten or clarify the message. Keep price changes, technical explanations, concessions and new promises with the authorised decision-maker. The VA can send routine messages within their trained, documented authority after checking the final wording against the current quote.

For example, if the customer asks about an optional item, a model must not turn “available at additional cost” into “included”. Check attachments and version references as carefully as the prose.

Use approved systems and permitted information. Privacy and spam obligations are distinct: the OAIC explains that APP 7 does not apply to the extent the Spam Act applies, while organisations covered by the Privacy Act still have other relevant APP obligations. OAIC: direct marketing.

Make stopping easier than scheduling another message

ACMA's guidance requires consent for marketing, accurate identification and contact details, and a working unsubscribe option. Unsubscribe requests must be honoured within five working days. The facility must work for at least 30 days after sending, without a fee, extra personal information or an account login. ACMA: avoid sending spam.

Operationally, suppress marketing as soon as the request is received. Check queued messages, the CRM, mailing platform and any provider sending on your behalf. Assign an owner to confirm the suppression reached each sending system; do not wait for the next spreadsheet import.

Before every send, recheck current status, recent replies and suppression. Keep a minimal record of the withdrawal so an old import does not restart the sequence. Assess any new inbound request separately without automatically removing the marketing block.

Review conversations that helped the customer decide

Track unanswered questions, missed agreed contacts, duplicate chases, opt-outs and messages stopped before sending. Review why quotes stall before changing the contact frequency. Sometimes the customer needs a clearer scope or a decision from your team.
